Venago Innovations Pvt. Ltd. (“Venago”, “we”, “our”, or “us”) built the Octawire HRMS application as a human resource and workforce management platform. This Privacy Policy explains how we collect, use, store, and protect user information when you use Octawire HRMS.

By using Octawire HRMS, you agree to the collection and use of information in accordance with this policy.

Octawire HRMS may collect the following personal and work-related information:

  • Real-time and scheduled notifications
     

Location Information

Octawire HRMS may collect location data only for field attendance purposes wherever applicable.

Location access is used:

  • To verify attendance check-ins and check-outs

  • To validate field employee attendance locations

  • Only when attendance-related features are being used

We do not track continuous background location unless explicitly required and permitted by the user and organization policy.
 

Device Permissions

The app may request access to:

  • Location (for field attendance verification)

  • Gallery (for uploading profile images)

  • Phone dialer

  • Email applications

  • WhatsApp

Note: Octawire HRMS does not access or store third-party app data.

  • Manage employee attendance and HR operations

  • Enable leave management and workforce tracking

  • Verify field attendance using location data where applicable

  • Send real-time and scheduled notifications

3. Authentication & Security

  • User authentication is managed using AWS Cognito

  • Secure tokens and user sessions are encrypted

  • Push notifications are delivered via Firebase Cloud Messaging (FCM)

  • All sensitive data is transmitted and stored using encryption and industry-standard security practices
     

4. Data Sharing & Access Control

  • Data is shared only within the same organization

  • Access is controlled by role-based permissions defined by administrators

  • No personal data is sold, rented, or shared with third parties for marketing purposes

6. Children’s Privacy

Octawire HRMS is not intended for users under the age of 13.

We do not knowingly collect personal information from children under 13 years of age. If such data is discovered, it will be removed immediately.
